Email deliverability is the part of cold outreach that can cost you the business rather than the campaign. The worst outcome is not a low reply rate, and it is not being marked as spam by a prospect. It is burning your domain badly enough that your existing customers stop receiving your email.

Invoices landing in junk. Support replies never arriving. We have seen companies effectively blacklist themselves from their own customer base while trying to win new ones. Here is what causes it and how to avoid it.

Why the risk is bigger than the campaign

Most people think about deliverability in terms of open and reply rates. Those matter, but they are not the whole picture. When sender reputation drops, you are not only losing prospects. You are losing the ability to reach people who already trust you and already pay you.

Domain reputation follows you everywhere. The promotional send that performed badly, the cold campaign that landed in spam, all of it feeds one score that decides whether your finance team’s invoices reach a client or get buried.

Recovery takes months. Sometimes longer. Sometimes it does not fully happen.

The mistakes that burn a domain

Sending cold outreach from your main domain

This is the most expensive mistake available. When a cold campaign goes wrong, and eventually one will, it takes your entire business email system with it.

Your main domain should be untouchable. Every internal message, every client thread, every invoice runs through it. Use separate domains that mirror your brand for outreach, and keep prospecting completely isolated from the communication your business depends on. Point those domains at your main website so they resolve to something real.

Buying contact lists

Building a list takes time, and vendors will sell you thousands of pre-verified contacts for a few hundred dollars. Those lists are usually outdated and full of dead addresses.

Sending to invalid addresses spikes your bounce rate, and providers read a high bounce rate as evidence you do not maintain your lists. The shortcut becomes the reputation problem. If you do buy, verify everything before a single send.

Skipping the technical setup

SPF, DKIM, and DMARC records are how providers confirm you are who you claim to be. Without them your mail looks suspicious from the first send, regardless of how good the content is. Misconfigured records are among the fastest routes into a spam folder.

Launching before warmup finishes

A new account has no sending history, which providers treat as suspicious by default. Warmup means starting small and increasing gradually, and it is not a formality you can compress.

The minimum is 14 days. Three weeks is better. Warmup also never switches off: it keeps running in parallel with live campaigns for the life of the mailbox, not just before launch.

How to do it properly

Scale with accounts, not volume

Rather than sending 100 emails from one account, send 25 from each of four. Same total, distributed risk. If one account gets flagged the others keep running.

Hold outreach at 20 to 25 emails per day per mailbox, weekdays only. Warmup runs alongside that at 15 to 20 a day, and the combined total should never exceed 50 per mailbox per day. When you need more volume, add mailboxes. Do not push the existing ones harder.

Ramp deliberately

Start at 5 to 10 sends a day in week one and build to full volume by around week five. Use warmup tooling that handles the background conversations for you, and document the ramp so you can tell the difference between a bad list and a bad schedule when something moves.

Use real people and real domains

Sending accounts should look legitimate because they are. Real names of people who actually work there, ideally people involved in sales, real profile photos, and domains that clearly relate to your brand. Use Google or Microsoft accounts rather than resellers.

Relevance is a deliverability setting

This is the one that surprises people. Targeting affects deliverability directly.

When recipients consistently ignore your email or mark it as spam, providers notice and start routing you to the spam folder automatically. Writing to people with no use for your offer trains the provider to treat you as junk. A good reply rate is not only a commercial result, it is reputation maintenance.

The pre-launch checklist

Technical foundation:

  • Separate domains for outreach, never your main company domain

  • SPF, DKIM, and DMARC configured correctly

  • Mailboxes on Google or Microsoft, not resellers

  • Domains forwarding to your main website

Account setup:

  • Real names and real profile pictures

  • Warmup completed, 14 days minimum and 21 preferred

  • Daily limits set to 20 to 25 outreach sends per mailbox

  • Enough mailboxes to carry the volume without exceeding them

List quality:

  • Every address verified before sending

  • Bounce rate under 2%, with automatic pausing at 4%

  • Targeting that matches the offer, right titles and right companies

  • Data sources recent and documented

Platform and monitoring:

  • A sending platform built for cold email, not a CRM email feature

  • Deliverability monitoring running

  • Reply handling ready before the first send, not after

  • Analytics tracking configured

The bottom line

Deliverability is not a marketing metric. It is whether you can still talk to your customers, your partners, and your prospects next quarter. The companies that treat it seriously at the start avoid months of repair work later.

The useful news is that most competitors are making these mistakes right now. Do this properly, with isolated domains, correct authentication, verified data, and a warmup you did not rush, and your email stands out by the unglamorous method of arriving.

Protect the main domain, use the right tools, verify the data, and respect the ramp. Revenue depends on the mail arriving.
